Annual Meeting Policies

The following policies have been established for journalists covering the AAAAI 2009 Annual Meeting and exhibitors/public relations professionals wishing to distribute materials related to research presented at the meeting.

Embargoes
In an effort to assist registered members of the press with planning coverage, the AAAAI issues press releases and provides abstract summaries ahead of the Annual Meeting. However, all materials are embargoed according to the following:

  • Abstracts and other research presented at the AAAAI 2009 Annual Meeting are embargoed until the time of presentation.
  • Press releases issued ahead of the AAAAI 2009 Annual Meeting are embargoed until the date and time stated on the release.

Journalists deemed in violation of any AAAAI Communications policies will have AAAAI 2009 Annual Meeting press privileges revoked.


Audio recording, video recording and photography
Members of the press who wish to film, record or photograph at the conference in areas other than the press room or news briefing room must receive advance permission from AAAAI Communications staff and must be accompanied by a AAAAI Communications staff member.

Audio or video recording and photography is strictly prohibited in all educational sessions.


Exhibitors/Public relations professionals
Exhibitors and individuals representing industry, advertising, marketing or public relations firms will not be granted access to the On-Site Press Room or News Briefing Room at the AAAAI 2009 Annual Meeting.

A table will be provided outside the On-Site Press Room for non-AAAAI news releases specifically related to research presented at the AAAAI 2009 Annual Meeting. News releases regarding scientific presentations made at the AAAAI 2009 Annual Meeting must be reviewed in advance by AAAAI Communications staff and must be embargoed for release until the time of presentation at the meeting or news briefing.

Materials may not indicate AAAAI endorsement or use the AAAAI logo.

All materials must be checked for compliance by AAAAI Communications staff prior to being placed on the table. Materials deemed in violation of AAAAI policies will be discarded.

Non-AAAAI news briefings or other media events are prohibited in meeting areas, including hotels, during the AAAAI 2009 Annual Meeting.

Under no conditions will lists of registered press be made available.

Individuals, companies, organizations or institutions found in violation of any AAAAI Communications policy will have AAAAI 2009 Annual Meeting access revoked.
